    Streamline Lab Result Tracking

    In our healthcare setting, I identified an ongoing issue with lab-result follow-ups that impacted patient care and operational efficiency. Lab results from external vendors, like Quest Diagnostics and other diagnostic centers, were not consistently received via fax or portal, causing delays in patient care and increased anxiety as patients frequently called to inquire about their results.

    To address this, I initiated a quality-improvement project aimed at streamlining our lab result tracking and follow-up process. I found that the primary issue was the lack of a reliable system to track lab results, compounded by vendor-related issues such as technology errors, staffing shortages, and incomplete patient billing details.

    I worked with the front office team to proactively contact vendors, verify and update office contact details, and complete new account applications where necessary. We also updated information with insurance companies to ensure smoother billing processes moving forward.

    To improve patient experience, we educated patients about scheduling follow-up appointments for lab results, typically within 14 to 30 days. We implemented a policy to upload lab results to the patient portal to allow access before appointments, reducing anxiety. Medical assistants were tasked with contacting patients with abnormal results, while providers communicated critical results directly.

    We also encouraged patients to sign up for diagnostic center portals for quicker access to results. We allocated dedicated time each Wednesday for staff to follow up on outstanding lab results, ensuring no results were overlooked.

    We improved tracking with a spreadsheet to monitor tests and missing results and began sending weekly fax requests to vendors for pending results. These efforts significantly enhanced our lab-result tracking, improving patient satisfaction and overall care quality.
